The Alliance for Affordable Energy is seeking a full-time Administrative Assistant to join our team.

We are currently looking for an Administrative Assistant with exceptional organization and administrative skills. To ensure success, the administrative assistant should be detail-oriented, eager to jump in and provide purposeful support to a dynamic, high-performing team, exercise sound judgment, and have exceptional written and verbal communication skills with an appreciation for creating efficient and thoughtful team environments.

Prior experience in the environmental justice or utility advocacy space is a plus, but not required.

This role reports to the Operations Director. The Administrative Assistant works closely with the Leadership Team (Executive Director, Director of Staff, Operations Director) while supporting the full AAE staff through general administrative work. AAE is a hybrid workplace with a mix of virtual and in-person reporting required. This role would require coming into the office at least 3-days per week. In-person work takes place in New Orleans AAE’s office. If you are a team player and an independent self-starter with strong organizing, writing, and verbal communications skills this may be the job for you.

Core activities include

Operations Administrative Support

  • Assist to improve and maintain efficient and effective administrative practices.
  • Organize and maintain an updated drive of digital operations documents.
  • Generate reference tools for easy use by the office.
  • Collect and organize incoming mail daily; deliver outgoing mail to the post office as needed.
  • Organize purchase and credit card receipts and financial documents.

Staff Administrative Support

  • Coordinate with our MSP to get new staff set up with equipment and accounts.
  • Troubleshoot onsite equipment issues (internet, printers).
  • Coordinate employee travel reservations: book rental cars, flights, or other transportation and lodging.
  • Ensure staff calendars are updated with holidays, birthdays, office closures, and other significant events.
  • Support weekly staff meeting notetaking and lunch ordering (in partnership with the Operations and Outreach Coordinator)
  • Create and format information for internal and external communication – emails, memos, presentations, reports, letters.

Document & Office Management

  • Assist with and prepare documents and filings.
  • Monitor email inbox to download and organize documents and filings.
  • Ensure relevant public facing documents are uploaded to the website.
  • Support the organization and maintenance of The Alliance’s Archive documents.
  • Organize, maintain, and replenish office supplies.
  • Coordinate with a cleaning service to ensure the office is maintained.

Who You Are

Education and Experience Qualifications

  • High school diploma required; Bachelor’s Degree preferred.
  • At least 1 year of experience and proven work record in an administrative, legal, financial, operations, or other related assistant/secretarial position.
  • Finance/accounting or paralegal/legal assistant (or related) certification preferred.
  • Prior experience working in social, economic, or environmental justice org; community organizing; energy utility advocacy or regulation, customer service, or teaching is a plus.

Required Skills

  • Strong written and verbal communication skills
  • Competency with Microsoft Office & Google Suite, Slack, and Zoom. Other software knowledge is a plus.
  • Takes initiative to identify and carry out necessary tasks.
  • Able to work both independently and as part of a team.
  • Ability to juggle multiple workflows effectively and efficiently
  • Highly organized with strong attention to detail.
  • Comfortable problem solving and troubleshooting tech equipment
  • Experience with social media outlets including Facebook, Instagram, Tiktok, and Twitter.
  • Valid Drivers Licence and access to an insured vehicle.
  • Flexible and adaptable; open to feedback and continued growth
  • Ability to maintain confidentiality of highly sensitive information
  • Compassion for others

  • Attend educational courses, read professional publications, build personal networks, and join professional organizations to keep professional and technical knowledge up to date
Location

Hybrid (at least 3 days per week in New Orleans office). Work must be performed in Louisiana, US.
