The Alliance for Affordable Energy (AAE) is seeking a full-time Administrative Assistant with exceptional administrative and research skills.

To ensure success, the administrative assistant should be detail-oriented, eager to jump in and provide purposeful support to a dynamic, high-performing team, exercise sound judgment, and have exceptional written and verbal communication skills with an appreciation for creating efficient and thoughtful team environments. This role is a direct report to the Operations Director.  The Admin Assist. works closely with the Leadership Team (Executive Director, Deputy Director, Operations Director) while supporting the Communications Manager and Policy Team in their work along with the general administrative work of AAE.  AAE is a hybrid workplace with a mix of virtual and in-person reporting required. In-person work takes place in AAE’s office, located at 4519 S. Claiborne Ave. New Orleans, LA 70125. Responsibilities & Duties

  • Create and format information for internal and external communication – emails, memos, presentations, reports, letters
  • Take comprehensive notes and minutes in real time on complex topics and conversations
  • Answer and screen phone calls, inquiries, and correspondence, and route accordingly
  • Keep track of and communicate reminders, action items, and deadlines to Staff
  • Help track energy/climate legislation, outreach requests, earned media, regulatory dockets, and more
  • Assist with and prepare documents/filings
  • Manage and maintain a large database of emails and digital files in Google Drive, Box.com and various public facing websites
    • Maintain, organize, scan, and enter data from physical and digital files
  • Manage, maintain and update staff calendars
  • Manage and organize incoming mail, purchase receipts and financial documents both physically and electronically
  • Set up meetings for staff using Zoom, iCal, Google Calendar, Doodle, and other applications
  • Handle reservations and bookings for event spaces, rentals, couriers, travel and lodging, food/catering, and equipment, among other things.
  • Help organize and maintain office supply inventory
  • Obtain relevant information from other organizations or agencies
  • Create and organize information, and generate reference tools for easy use by the office.
  • Assist to improve and maintain efficient and effective administrative practices
  • Assist staff with relevant tasks virtually and in person
  • Maintain confidentiality of highly sensitive information

Education & Experience Qualifications

  • High school diploma; Bachelor’s Degree preferred
  • Paralegal/Legal Assistant (or related) Certification preferred
  • At least 1 year of experience and proven work record in an administrative, assistant/secretarial, legal, operation, or other related position

Compensation & Benefits

The salary range is $50,000 to $55,000 plus standard AAE benefits package including:

​Paid time off:

  • Starting Vacation earned at 2 weeks per year, plus
  • All national holidays as well as Juneteenth, Lundi Gras, Mardi Gras, and the Friday following Thanksgiving, plus
  • Summer break: an entire week off for July 4th, plus
  • Winter break: one to two entire weeks off at year end, plus
  • 12 days for Sick Leave (mental, physical, and family health), plus
  • Parental, Family, and Sabbatical leave

COVID Considerations

Currently, our office is working with a hybrid model- half of the week in office, half remote (WFH policies are subject to change). COVID antigen tests are provided for in person meetings and emergencies.
